Job Description

We are looking for a part-time Receptionist to work 8 hours per day (9:30am-5:30pm) on Tuesdays, Wednesdays and Thursdays on-site in our studio location in Waltham, MA. Reporting directly to the Studio Operations Manager, you will be responsible for maintaining the professionalism and daily operations of the studio space. The right candidate is an organized, proactive, and creative problem-solver that is flexible in handling the versatile tasks each day brings. This is a great opportunity for someone who is friendly, positive, and outgoing in personality and looking to grow in their path in administration.

Daily Responsibilities 

  • Welcomes office visitors and coordinates access to the suite for subcontractors, ensuring a seamless on-site experience.
  • Maintains a professional environment and oversees the reception area and duties including answering phones, handling office mail and packages, greeting guests, assisting vendors and interviewees.
  • Executes general office tasks like ordering supplies, packing shipments, filing, photocopying, document scanning.
  • Coordinates weekly office lunch catering and various employee engagement activities, including booking the occasional business lunch or dinner reservation.
  • Manages conference rooms, office, and kitchen cleanliness, supply, inventory, ordering, restocking, and maintenance. 
  • Initiates inquiries to vendors for service and product quotes.
  • Manages external relationships with vendors, contractors, and outsourcing partners.
  • Operates independently and great at multitasking and staying organized, including maintaining organized filing systems, both physical and digital.
  • Assists with any other ad-hoc administrative projects
  • Supports the accounting/finance departments with manual data entry as needed.

Qualifications

  • Minimum 2 year experience in hospitality, retail, or business administration within the past 3 years with the comparable scope of the responsibilities as the above mentioned.
  • Mastery of Google Suite, Microsoft Office, and Slack.
  • High energy, positive, people personality.
  • Be a true problem solver at heart with a genuine interest in helping to create an awesome office atmosphere.

Nice to have

  • Experience with booking business travel accommodations.
  • Experience with Miro and Confluence/JIRA.
  • Adobe, Photoshop, Illustrator.
  • Passion for Video Games.
