What We Need: 

We have an amazing office overlooking Iveagh Gardens in the heart of Dublin City. We are looking for someone who will play an integral part in ensuring that the operations of this office run smoothly. We need someone with exceptional organisational and operational skills, who loves interacting with many different people and teams, someone who finds joy in helping others.

Please note that this is a fixed term position that will allow you to grow your skills and learn from top talent. It is key for this role to be office based five days per week.  

This role manages one direct report - the office administrative assistant. 

 

What You Will Do: 

Employee Experience

  • Responsible for organizing all staff perks, activities, wellness events & parties, including concept, promotion and budget management. 
  • Creating and managing the wellness calendar of events and driving wellness initiatives with support from office assistant and HR. 
  • Owner of office communications. Working with wider 2K comms teams to make sure we’re in line with global comms as well as driving local comms such as monthly newsletters and display screen content. 
  • Tracking engagement of office perks through surveys, driving action on feedback to improve employee experience. 
  • Oversees office onboarding process for new starters including ensuring training deck is up to date, and gathering and actioning on process feedback.
  • Liaise with international logistics teams on global swag drops, identifying areas for process improvement. 
  • Driving local community outreach programmes, and any charity and volunteering initiatives with support from Office Administrator
  • Responsible for local Dublin Town Halls. Manage the agenda, work with the operations team and team leads to compile slides for presentation deck and present content.

 

Office Management 

  • Manager to the Office Administrator. Provide guidance and management support to the Office Administrator, including training and development. 
  • Supplier and vendor management; relationship management, contract management, cost negotiations with office vendors (PT, Physio, Catering, Snacks etc), identifying new suppliers, supplier onboarding. 
  • Owner of operational projects. Leading weekly operations meetings and managing operations team across all office based functions.
  • Development and implementation of office policies, communication of policy/updates, identifying areas for policy and/or process improvement.
  • Owner of office budget. Working closely with the finance team to track budgets across admin & facilities functions, including forecasting & reporting management. Creating a budget submission for the next financial year with input from the operations team. 
  • Oversees PO process for Dublin office, including approving and supporting office administrator with any complex / escalated queries. 
  • Partners closely with external agencies to coordinate training and training grants. 
  • Main point of contact for general office queries from employees at every level in 2K Dublin. Treating employee queries with respect, relative sensitivity and utmost discretion.

 

What Will Make You a Great Fit:

  • Proven experience as an Office/Operations Manager or in a similar role
  • Strong personal drive and initiative to manage and complete tasks
  • Versatility, flexibility, and a willingness to work within evolving priorities with enthusiasm
  • Effective time management, ability to multitask and prioritise according to staff and project needs
  • Ability to work in a team and demonstrate a high level of teamwork, organisational skill, and customer service
  • Excellent verbal and written communication skills, fluent English is required. 
  • Discretion; ability to handle highly confidential issues with the utmost sensitivity
  • Proficient in using office software, such as Microsoft Office Suite and Google Suite (docs, sheets, slides & forms)
  • People manager experience is an asset. 
  • Experience in event coordination is an advantage.
